Wedding Coordination Requirements

To ensure that your vision and expectations are met, we require all Agave clients to hire an event coordinator (AKA month-of-coordinator/day-of-coordinator) or select a package where coordination is included. Failure to obtain a coordinator will result in the cancellation of the event and will be treated as being cancelled by the Renter.
We require event coordination that provides the following services:
 
•1 hour wedding rehearsal prior to the day of your wedding (by appt.)
•Creating a detailed timeline and executing the day of
•Creating detailed venue schematic
•On-site, day-of coordination through closing of the venue
•Vendor coordination (finalize timelines, vendor arrivals, primary point of contact day)
•Set-up and tear down personal items and décor (linens, tables numbers, welcome table, etc.)
•Collection of gifts and personal items at the end of the evening and loading into vehicles.
•Serve as the main contact so you, your family, and your guests can relax and enjoy the celebration

Requisite Catering List

Our exceptional list of caterers provides an array of cuisine and service styles to customize your dining experience. Food and beverage costs are not included in our packages. Please contact the caterers for further information. You may provide your own alcohol, and your selected caterer must handle all liquor services. No outside bartenders are permitted.

Amenities

All of our wedding packages include a full range of amenities—except for the Happily Ever After package.

Off-Season Pricing ~ Save 10%

Celebrate your special day during the off-season and save. We offer a 10% discount during the months of January, July, and December. Our ceremony-only package is excluded. May not combine with certain offers.

BYOB!

We allow our clients to source their own alcohol for all events at Agave, which equates to large savings. Please note, all alcohol service must be handled by your selected catering team chosen from our exclusive list of caterers. Outside bartenders are not permitted. No self-pouring is allowed. No shots or kegs.

Vendor Insurance Requirements

All caterers and bartenders must maintain liability insurance providing a minimum of Two Million Dollars ($2,000,000) in coverage through an A-rated insurance carrier for the date of the event. All other vendors must maintain liability insurance providing a minimum of One Million Dollars ($1,000,000) in coverage through an A-rated insurance carrier for the date of the event. Renter must provide a Certificate of Liability naming Owner, its members, officers, agents, representatives, and employees must be named as additional insured’s proof of this insurance must be provided ninety (90) days prior to the event. Failure to do so may result in cancellation of the event and will be treated as being cancelled by the Renter.

Important: Agave of Sedona must be added to all vendor insurance policies as an additionally named insured with the following information included in the certificate holder section:

Specialty Event Insurance is not required but strongly recommended for our clients. We recommend sourcing your own event insurance through your home owner’s or corporate policy or obtaining coverage via www.kandkinsurance.com. This will provide an extra layer of protection for the renter(s).
